Provide confidential support to an executive and/or officer of the company.

Primary Accountabilities:

  • Independently compose financial, statistical and/or narrative reports and correspondence as required.

  • May sign on behalf of executive, as delegated, his/her name to correspondence, requisitions, etc. as required.

  • Establish and maintain records and files including, but not limited to, confidential personnel information, budgets, time off, projects, etc.

  • Schedule appointments and maintain calendar of executive supported ensuring effective use of time management.

  • May coordinate domestic or international travel arrangements.

  • May participate in meetings and/or conferences and take and transcribe minutes of meetings.

  • Schedules meetings, off-site conferences or conference calls with the possibility of multiple participants

  • Open, sort and distribute incoming mail (hard copy and e-mail) routing to appropriate individual(s) for action. Routinely prepares correspondence as required.

  • Responsible for ensuring distribution of company-wide communications to entire function.

  • Distributes outgoing mail as appropriate.

  • Initiate process improvement recommendations.

  • Provides pre-meeting support by developing agenda with post meeting follow-up.

  • Manages telephone calls and complex inquiries for both internal and external customers.

  • May develop complex spreadsheets related to financial, billing, accounting, compensation, benefits, department budget, etc.

  • May export or import data, design materials for presentations using graphics and may create links, formulas, macros or mail merges.

  • Provides support to company sponsored projects through complex organizational and communication skills.

Qualifications:

  • High school diploma; Associate degree preferred

  • Minimum of 4-6 years of related experience

  • Previous administrative experience supporting multiple departments and/or multiple managers and/or executives.

  • In-depth knowledge in Microsoft Office suite of products including, but not limited to, MS Word, Excel, Access,PowerPoint, and Outlook

  • In-depth knowledge of Outlook e-mail and scheduling tools

  • Ability to research and find company-specific information utilizing vehicles such as the Internet, Intranet, Sharepoint, etc.

  • Requires the ability to exercise considerable discretion and independent judgment.

  • Capable of analyzing complex information requests.
